Project Security

When enabled, projects provide an additional layer of security where document access is restricted based on whether the document and the user are linked to the same project. If your system uses projects, you can link documents to particular projects and ensure that only users who have access the project can view and work with those documents.

A user's project access permissions are set on the user's contact document, on the Project tab. This tab displays two sections that influence project security and document access permissions for the user:

• Restrict to Projects
• Linked Projects

Note: The Restrict to Projects section on the Projects tab of the Contact document is only available to users with Update permissions set in the Accounts - Project Accesssection on the Projects (Managed) Permissions settings page. The Restrict to Small Projecst section is unavailable for contacts without a Proliance account or for integration accounts.

Restrict to Projects

In this section, you can choose to apply an additional layer of security permissions that restricts the contact's access to documents related to the projects.

• No additional security. Document access defined by user's Security Roles When selected, this setting allows the contact to access documents within the workspace regardless their Project links. The contact's document access is controlled according to their assigned security role permissions only.
• Document access is restricted to Projects the user is linked to. When selected, this setting restricts the contact to accessing only those documents that are associated with the Project the contact is linked to.

Linked Projects

In this section, you can optionally choose to link the contact to one or more projects. You can link the contact to all projects within a workspace, or specific projects that are explicitly listed in the Projects grid.

• Linked to all Projects Projects listed below may have links with additional information. When selected, this setting links the contact to all projects within the workspace. These projectlinks are not explicitly listed in the grid below, although you can add specific links to the grid in order to add link details such as notes.
• Link only to Projects listed below. This setting links the contact to specific projects listed in the grid.

Project Team Roles

A contact's access to project documents can be further qualified by project team role, defined on the contact's Project tab. For more information about project team roles, see "Project Team Roles".

Linking Documents to Projects

Documents can belong to one or more projects, provided that those projects are within the same workspace. Not all documents types can be linked to a project. For example, work area settings documents and most administrations documents cannot be linked to projects.

Workspace-Level Project Access Control

Users can access projects at the workspace level if the following conditions are true:

• The user has at least Read permissions for projects assigned to their role on the Workspaces (Managed) permissions page.
• The user has No additional security selected in the RESTRICT TO SMALL PROJECTS section of their contact document.

The user has Document access is restricted to Projects the user is linked to selected in the RESTRICT TO SMALL PROJECTS section of the contact document, and the appropriate projects are linked in the Linked Projects section.

• The user has at least Read permissions for the document type assigned to their role on the Workspaces (Managed) permissions page

Portfolio-Level Project Access Control

Users can access projects at the portfolio level if the following conditions are true:

• The user has at least Read permissions for projects assigned to their role on the Workspaces (Managed) permissions page.

• The user has at least Read permissions for the document type assigned to their role on the Workspaces (Managed) permissions page.
